We are currently looking for a Personal Assistant to the CEO and Finance Director, based in Birmingham, UK. The Personal Assistant to the CEO and Finance Director plays a pivotal role in the Chief Executive’s Office and Finance Director Office; the main purpose is to ensure the smooth running of the office on a day-to-day basis, provide comprehensive administrative, logistical and technical support to the Chief Executive Officer, Board of Directors and Family Council. The Personal Assistant is also an important interface for staff and volunteers internally as well as external stakeholders.
The Personal Assistant will manage and organise meetings, coordinate availability and dates with relevant parties involved (i.e. Board of Directors, Board of Trustees, Islamic Relief Partners, Islamic Relief internal staff and external stakeholders). S/he will manage all travel arrangements and communicate these to, parties involved. You will be dealing with highly confidential matters and you will provide strong analysis and research where required to produce reports and opinions for the CEO, Finance Director and internal stakeholders. S/he will ensure that relevant reports, agendas and other information is provided and is written, collated and communicated to the various levels of management.
The successful candidate will be qualified to Degree level; a Masters Degree will be a significant advantage. The applicant will have excellent organisational skills and experience of arranging/coordinating meetings and conferences on an international basis. The successful candidate will have a sound confidential approach to work, where discretion is maintained at all times and have a highly collaborative approach with a strong sense of teamwork and a willingness to work with colleagues and other departments in support of organisational objectives. The candidate will have the ability to respond quickly, positively and with flexibility to swiftly changing and often pressurised situations. You will be Computer literate: highly proficient in the use of word processing software (MS Word), presentation software (MS PowerPoint), spreadsheet software (MS Excel), database software (MS Access), email software and knowledge management systems. In addition to this the candidate will have excellent fluent written and spoken English; a working knowledge of Arabic is preferred. Knowledge of a European language particularly French or German will also be positively considered or an Indian subcontinent national languages particularly Urdu.
