JOB SUMMARY:

• the position is based in Idleb - Syria and reports directly to the Distribution Officer.
• The Distribution Assistant is required to play a key role in implementing the general food distribution activities at all stages of the Food project.

Task and Responsibilities

• Work closely with Distribution Officer to contribute to organizational and sector-wide learning through good quality documentation of lessons learned, best practices, evaluations etc.
• Assist the Distribution Officer in preparing food distribution internal and external reports, including case studies and success stories.
• Conduct community meetings to sensitize communities on the organization’s program and beneficiary entitlements.
• Assist and monitor the general running of the food distribution activities within the scope of the project area.
• In collaboration with the distribution officer, propose and initiate improvements according to the lessons learnt during programming and the findings from assessments conducted in the program period.
• Collaborate with the community leaders and volunteers for smooth implementation of project activities.
• Support the team to supervise community promotion and awareness session on all plan activities
• Plan field movement on a daily to ensure smooth project implementation.
• Participate in the receipt and delivery of relief items.
• Ensure that all relief items related to Islamic Relief found in the distribution center are properly identified.
• Checking and reviewing the shipment data for the relief items that arrive at the distribution center and ensuring that the numbers and quality of the materials exactly match what was stated in the shipment papers for those items and immediate registration of any shortage in the number of items received or any missing items during the transportation process or Any damaged items, if any, all these notes must be recorded and taken immediately.
• Accurate quantities of materials during unloading process.
• In the distribution center, storing the relief materials in an organized manner according to the type of each material, which facilitates the distribution process.
• Coordination with the field supervisor and with the local community to work on identifying the groups to be targeted within the community more effectively.
• Using approved criteria for selecting beneficiaries and investigating them during the process of distributing relief materials.
• Take an active role in the process of auditing and registering the beneficiaries to ensure that this process is carried out fairly.
• Ensuring that the groups most in need and affected and targeted within the community have been properly accessed and protected also must make sure that the groups of women who are beneficiaries are properly taken care of.
• Ensure that the registration process is well planned and documented.
• Studying the requests and complaints of the beneficiaries and verifying the complaints.
• Supervising the organization of the distribution of relief materials under the direction of the Operations Officer.
• Ensure that the materials are properly stored in the recipient centers.
• Ensuring that all necessary and required distribution methods are in place, including safety and security, mechanisms, workers, trucks, and banners for the identification of the project, as well as documentation and distribution papers.
• Ensure that the distribution center is properly organized and insured by individuals and plans to control large numbers and ensure the ease of the distribution and flow of beneficiaries.
• Supervising the distribution of relief materials to the intended beneficiaries.
• Ensure a proper count of the numbers of all materials received and distributed in each distribution center.
• Preparing a report on each visit for the beneficiaries and workflow mechanisms.
• Ensure a proper and safe return of all papers and lists of beneficiaries to the office.

Personal Specification (Experience / Education/Skills- Essential):

· University or Institute degree

· Minimum 1 years of related experience.

· Understanding – and ideally prior experience – of food security concepts and programming.

Language

Arabic (written and spoken) is a must. English will be additional benefit.

IT skills

· Very Good computer skills.
